Smooth mobile use for the technician

The technician sees the work assignments allocated to them in a clear user interface optimized for mobile devices. The application enables convenient work time tracking, reporting of billable jobs, and work documentation.

Automate with Integration

Rossum Works’ integrations enable smooth data transfer for orders and financial information between different systems. Orders can be imported into the system via WebService interfaces, Excel/CSV files, or email.

Standard features

Rossum Works’ standard functions cover all basic work management needs – from customer and order data management to job resourcing, scheduling, and work order dispatching. Field workers can report directly via mobile, making job tracking real-time and providing the necessary information directly for payroll and invoicing.

The technician sees their work assignments, reports working hours for payroll, and logs billable hours and materials used directly via mobile.

Images and attachments

The technician sees the documents and images attached to the work order and can also add photos and attachments to the job themselves if necessary.

Approval

Search by name, time period, or keyword, check reported hours and materials, and approve the data quickly – all at once or separately

Reports

Rossum Works’ standard reports include payroll and invoicing reports, which compile daily data on working hours, materials, and expenses at the personnel and worksite level.

Maintenance

Maintenance covers interfaces for managing users, work types, work phases, and materials, among others. Additionally, there may be separate views tailored to customer-specific needs.

Organizations

The standard service includes one main organization. The organization can be expanded based on, for example, office locations or business units.

Booking

Sales visits are created directly in the salespeople’s calendars. The salesperson receives a notification, agrees on a time with the customer, and records the visits in the system.

Quotation calculation

Rossum Works offers both a simple quotation calculation with materials and a more extensive option based on productization.

Graphical metrics and charts

Customer-specific metrics, such as “TOP 3 Salespeople,” can be added to Works. The metrics illustrate the system’s data according to your company’s needs.

Property maintenance functions

Easily manage property information, small jobs, seasonal work, meter readings, key safes, and maintenance logs with a mobile device.

Job bundles

The bundling function allows you to streamline work control by combining repetitive jobs performed at the same location and time into a single entity.

Jobs on the map

Boost job assignment and tracking with a map view where jobs are displayed with color codes. View and edit job details with a single click.

Electronic logbook

The electronic logbook allows employees to easily record trips. Works produces a travel report approved by the tax authority.

GPS positioning

The positioning records the start and end locations of the work, which are visible in the approval view and open in Google Maps.

Signing

After the work is completed, the client can sign the installation report on a mobile device. The signed PDF report is sent to the client via email.

Construction notifications

Works collects employee data for worksites, covering both own technicians and contractors, and sends it electronically to the Tax Administration via the ApitamoPKI interface.

Complaint notifications

Complaints can be created directly by the technician. The handler sees them in the work queue with a color code, and the customer receives automatic notifications about the processing progress.

Material orders

With the quotation calculation add-on, you can send material orders directly to the material suppliers’ email. Works compiles material orders by supplier.

Forms

An extra function available for Rossum Works is a mobile-use tool for filling out electronic forms. The forms are created on a customer-specific basis according to need.

Financial management integrations

Rossum Works includes Web Service interfaces to several financial management software systems, such as Visma Netvisor, Talenom, Fennoa, and Procountor. Also ask about other interfaces!

Google Drive integration

Works has a Drive interface that creates a customer folder upon job creation. Folder permissions are shared with the technicians upon job assignment, and images attached to the job are automatically updated to Drive.

Job tracking notifications

Email notifications about job status changes can be sent to defined recipients such as the salesperson or the supervisor. The content and targets of the notifications are defined in the user interface.

Customer communication

Customer communication is used to agree on matters related to the job, such as the installation time. The communication can involve, for example, the customer, the salesperson, the technician, and the supervisor.

Sales commissions and contracts

We produce commission reports according to agreed calculation rules. Technician contracts are calculated based on realized hours, wages, and multipliers.
